Area Management Overview (Web)

The Area Management feature in Terros allows managers to visually create, assign, and manage sales territories on an interactive map, making it easy to organize regions, track performance, and coordinate field teams.

What is Area Management?

Area Management provides a map-based tool for defining sales territories as geographic polygons. You can draw boundaries on a map, assign them to users or teams, and track performance metrics for each territory.

Accessing Area Management

Navigate to Area (or Area Management) in your navigation menu. This opens a full-screen map interface showing all your sales territories.

Main Screen Overview

The Area Management screen displays:

  • Interactive Google Map with all existing areas shown as colored polygons

  • Toolbar at the top with a "Draw Area" button

  • Sidebar Drawer (opens when you click an area) for editing area details

Creating a New Area

Step 1: Start Drawing

  1. Click the "Draw Area" button in the toolbar

  2. Your cursor changes to drawing mode

Step 2: Draw Your Territory

  1. Click points on the map to create your territory boundary

  2. You need at least 3 points to form a valid area

  3. Click your starting point again (or double-click) to close the polygon

  4. The system automatically creates the area with a random color

Step 3: Configure the Area (Optional)

Once created, the sidebar drawer opens automatically. You can immediately configure:

  • Color - Choose a color to distinguish this territory on the map

  • Area Note - Add notes or instructions for assigned reps

  • Assignment - Assign users or teams (see below)

Step 4: Save

Click "Save" at the bottom of the drawer to apply your changes.

Assigning Areas to Users or Teams

In the sidebar drawer, under "Assign to":

Assign to Users:

  1. Select "User" from the dropdown

  2. Search and select users from the picker

  3. You can assign multiple users to the same area

  4. Added users appear in a list with remove buttons

Assign to Team:

  1. Select "Team" from the dropdown

  2. Search and select a team from the picker

  3. Only one team can be assigned per area

  4. All team members can see this area on their mobile app

Important: Unassigned areas are automatically deleted after 30 days. Make sure to assign areas to keep them active!

Editing an Existing Area

View and Edit Details:

  1. Click the area polygon on the map

  2. The sidebar drawer opens showing area details

  3. You can edit:

    • Area color

    • Area notes

    • Assignment (users or team)

Edit Boundaries:

  1. Click "Edit boundaries" button in the sidebar

  2. The polygon becomes editable:

    • Drag corner points to reshape the boundary

    • Drag the entire polygon to move it

    • Right-click points to delete them (minimum 3 points required)

  3. Click "Save Boundaries" when finished

  4. Or click "Cancel" to discard changes

Save Changes:

Always click "Save" at the bottom of the drawer to apply any edits.

Viewing Area Performance

Access the Scorecard:

  1. Click an area to open the sidebar

  2. Click the "Scorecard" button

  3. A nested drawer opens showing area statistics

Available Metrics:

  • Total properties in the area

  • Locations pitched (how many have been contacted)

  • Locations with activity (recent interactions)

  • Status breakdown by account stage

Filter by Date Range:

  • Default shows last 3 months of activity

  • Adjust the date range to see different time periods

View Individual Performance:

  • Select a specific user from the list

  • See that user's metrics within the territory

Deleting an Area

To permanently remove a territory:

  1. Click the area to open the sidebar

  2. Scroll to the "Danger Zone" section at the bottom

  3. Click "Delete Area"

  4. Confirm the deletion

Warning: Deleted areas cannot be recovered.

Visual Features

Area Colors:

  • Each area can have a custom color for easy identification

  • Change colors in the sidebar drawer

  • Different colors help distinguish overlapping territories

Assignment Markers:

Areas display markers at their center showing who's assigned:

  • User avatar/initials - Single user assigned

  • Team avatar/initials - Team assigned

  • Orange badge with number - Multiple users (e.g., "3" for three users)

  • Gray "?" icon - Unassigned area

Map Controls:

  • Zoom in/out using controls or mouse wheel

  • Pan by clicking and dragging

  • Toggle satellite view (if available in your map controls)

Performance Optimization

  • The map displays up to 50 areas at once for performance

  • Only visible areas within your current map viewport are rendered

  • Your map position is saved and restored when you return

Permissions

To access Area Management, you need:

  • area:add permission to create, edit, or delete areas

  • area:list permission to view areas

Typically available to:

  • Company owners/managers

  • Team managers (for their team's areas)

Tips for Success

For Creating Territories:

  • Draw accurately - Take time to follow natural boundaries or neighborhoods

  • Use distinct colors - Make it easy to identify territories at a glance

  • Add helpful notes - Include landmarks, special instructions, or territory details

  • Assign immediately - Avoid losing areas to the 30-day auto-deletion

For Managing Teams:

  • Review assignments regularly - Ensure areas match your current team structure

  • Check the scorecard - Monitor activity levels in each territory

  • Adjust boundaries - Update as your market or team changes

  • Use team assignments - Easier than managing multiple individual users

For Best Performance:

  • Zoom in before drawing - More precise boundary placement

  • Limit overlapping areas - Prevents confusion for field reps

  • Keep areas reasonably sized - Very large areas can slow map rendering

  • Delete unused areas - Keep your map clean and organized

Common Workflows

New Territory Setup:

  1. Draw area → Assign users/team → Add notes → Save

  2. Share with field team

  3. Monitor performance via scorecard

Reassigning Territory:

  1. Click area → Change assignment → Save

  2. Previous assignees lose access

  3. New assignees see it on mobile

Seasonal Territory Adjustments:

  1. Edit boundaries to expand/contract coverage

  2. Save boundaries

  3. Team automatically sees updated territory
