Account Management Explained (Web)

Account Management lets managers and admins assign accounts and territories to teams or individual users. You can assign specific addresses or entire geographic areas—perfect for field sales, imported lead lists, and territory-based selling.

What Is Account Management?

A system for assigning accounts (individual addresses or geographic territories) to sales reps.

Accessing Account Management

  1. Go to app.terros.com

  2. Select Account Management from the left sidebar

  3. View all accounts and their assignments on the map

Note: Only available if enabled by your admin. Requires manager permissions or higher.

Layout

When you open the Account Management tab:

  • A map appears in the center of the screen

  • The right-hand panel contains all tools needed to assign, filter, and manage accounts

  • Toggle between Assignment view (to assign new accounts) and Management view (to review existing assignments)

Location Filters

You can define areas in two ways: Draw on Map – Zoom to your desired location, click Start Drawing, and outline an area around imported accounts. Select from List – Assign accounts by selecting State, City, or ZIP code. Admins can assign accounts to teams, while managers can assign to individual users within their team.

Account Properties

Choose which accounts to assign within the selected area.

  • If no statuses/stages are selected, all accounts in that area will be assigned

  • Filter by Account Stages (e.g., leads, prospects, no knocks, etc.) to assign only specific types

Assignment View

The Assignment View helps you understand account distribution in real time:

  • Red pins = unassigned accounts

  • Blue pins = assigned accounts

Totals are displayed for:

  • Unassigned

  • Assigned

  • Assigned by stage

You can toggle map clusters to display account stages. Clusters group pins together as you zoom out for a clearer view.

Assigning Accounts

Assign Single Account

  1. Go to Accounts page

  2. Click on an account

  3. Click Edit

  4. Select the rep from the Owner dropdown

  5. Click Save

The account is now assigned to that rep.

Bulk Assign by Drawing

  1. Go to Account Management page

  2. Select Assignment from the dropdown in the upper right

  3. Select Draw on Map

  4. Click Start Drawing

  5. Click various points on the map to define an area

  6. Under Account Properties/Statuses, choose which account stages to include

  7. Review totals in the Assignment View

  8. Select a team or user to assign the accounts to

  9. Decide if you want to:

    • Assign on Save – Immediately assign the accounts using the filters

    • Auto Assign on Future Imports – Automatically apply assignment rules to new accounts as they are imported

  10. Click Assign to complete

Bulk Assign by Filter

  1. Go to Account Management page

  2. Select Assignment from the dropdown

  3. Select Select from List

  4. Apply filters (state, city, zip code, account stage, etc.)

  5. Review totals in the Assignment View

  6. Select a team or user to assign the accounts to

  7. Choose assignment options (Assign on Save and/or Auto Assign on Future Imports)

  8. Click Assign

Viewing Assignments

Management View

From the Management option in the dropdown, managers can:

  • Select account scope (draw on map or select from list)

  • Filter accounts by stage and view assignments at the user level

  • Build smaller, user-specific territories within larger team areas

  • See which accounts are assigned to which reps

Filter Options

Use the filters to view:

  • By Rep - Select a rep's name to view all their assigned accounts

  • By Team - Select a team to view all accounts assigned to that team's members

  • By Stage - Filter to specific account stages

  • By Geography - Filter by state, city, or zip code

Reassigning Accounts

Single Reassignment

  1. Find the account on the Accounts page

  2. Click on the account

  3. Click Edit

  4. Select new rep from the Owner dropdown

  5. Click Save

Bulk Reassignment

  1. Go to Account Management

  2. Select Management view

  3. Select the assignment area (draw or filter)

  4. Click Reassign button

  5. Choose new rep or team

  6. Click Confirm

All selected accounts move to the new rep.

Unassign Accounts

  1. Select the assignment area in Management view

  2. Click Unassign button

  3. Accounts return to unassigned pool (no owner)

Assignment Rules

In the upper right of Account Management, you'll find Assignment Rules: This is where you manage how accounts are distributed and automated. Rule Actions:

  • Run Assignment Now – Apply the rule immediately to matching accounts

  • Unassign – Remove accounts from a rule

  • Re-assign – Reassign accounts by selecting a new team and/or user

Assignment rules can automatically assign newly imported accounts based on geography, stage, or other criteria you define.

Importing Accounts with Assignments

CSV Import with Owner

  1. Go to Import page

  2. Upload CSV with columns:

    • Address

    • Owner Email (rep's email)

    • Other account fields

  3. Map columns correctly

  4. Click Import

Accounts auto-assign to reps based on email. Requirements:

  • Rep must exist in system (match by email)

  • Rep must be on a team

  • Invalid emails default to unassigned

Managing Unassigned Accounts

View Unassigned

  1. Go to Account Management

  2. Use filters to show only unassigned accounts (red pins on map)

  3. See all accounts without owners

Assign Unassigned Accounts

  1. Select unassigned accounts (draw area or filter)

  2. Click Assign

  3. Choose rep or team

  4. Click Confirm

Account Stats

The Account Stats page provides high-level reporting to help you track performance and coverage. You can:

  • View stats on assignment, team ownership, and stage distribution

  • Search by groupings such as City, State, ZIP, or Assignment

  • Drill down into details for each grouping

Example breakdowns include:

  • Number of teams

  • Number of owners

  • Leads count

  • Prospects count

  • No knocks count

This gives managers and admins a clear view of account distribution and progress.

Permissions & Access

Who Can Assign Accounts

Admins:

  • Assign any account to any rep

  • Bulk reassign across teams

  • Create and manage assignment rules

  • Import with assignments

Managers:

  • Assign accounts within their team

  • Reassign accounts within their team

  • View all team assignments

  • Create assignment rules for their team

Reps:

  • View only their assigned accounts

  • Cannot reassign accounts

Rep View

Reps see their assigned accounts:

  • Mobile: In Canvass mode

  • Web: Accounts page filtered to their assignments

  • Reports: Stats for their accounts only

Best Practices

Assignment Strategy

  • Balance workload - Distribute accounts evenly across reps

  • Consider proximity - Assign nearby accounts to same rep when possible

  • Match skills - Assign account types to reps with relevant experience

  • Review regularly - Reassign as needed when reps leave or territories change

Data Quality

  • Import clean data - Verify addresses before importing

  • Update assignments - Keep ownership current

  • Handle turnover - Reassign accounts when reps leave

  • Audit regularly - Check for unassigned or incorrectly assigned accounts

Team Communication

  • Notify reps - Tell reps when accounts are assigned

  • Set expectations - Clarify ownership and responsibilities

  • Track activity - Monitor which accounts are being worked

  • Resolve conflicts - Handle duplicate assignments quickly

Troubleshooting

Can't see Account Management in sidebar

Feature not enabled. Contact admin to enable Account Management feature.

Can't assign accounts

Check permissions. You need manager or admin role.

Rep not seeing assigned accounts

Verify assignment saved. Check rep has correct team and permissions.

Import not assigning accounts

Verify owner email column matches rep emails exactly in system.
