Managing Duplicate Accounts (Web)

Terros automatically detects potential duplicate accounts at the same location. You can review these duplicates and merge them into a single account.

Accessing Duplicates

  1. Navigate to the Accounts page

  2. Click the Duplicates button

  3. View the list of duplicate groups organized by location

Understanding Duplicates

Duplicate groups show multiple accounts that appear to be the same customer at the same property. Each group displays:

  • The location address

  • Number of duplicate accounts detected

  • Preview of account details

Merging Duplicate Accounts

  1. Click on a duplicate group to open the merge interface

  2. Review the accounts side-by-side

  3. For each field, select which account's value to keep by clicking the radio button next to it

  4. Review your selections

  5. Click Merge to combine the accounts

Important: Merging is permanent and cannot be undone. The selected values will be kept, and the duplicate accounts will be consolidated into one.

Fields You Can Merge

The merge interface shows common fields like:

  • Contact name

  • Phone number

  • Account status or workflow stage

  • Owner

  • Custom fields

For each field, you choose which account has the correct information.

After Merging

The merged account will:

  • Retain the selected field values

  • Keep the history from all merged accounts

  • Appear as a single account in your account list

Not a Duplicate?

If accounts are flagged as duplicates but are actually different customers:

  1. Open the duplicate group

  2. Click Ignore

  3. The accounts will remain separate and won't appear in duplicates again
