Closer Availability Overview (Web)

Closer Availability controls when and where closers can be booked for sales appointments.

What is Closer Availability?

When a setter creates an appointment, the system checks closer availability to determine who can be booked and when. It considers the closer's configured hours, existing appointments, booking limits, geographic service area, and whether they have unfinished tasks. Only closers with a status of Self Gen, Self Gen & Closer, or Closer appear as available.

Setting Up Closer Availability

All closer configuration lives in Settings > Preferences under the Calendar group. You need the company:update permission to modify these settings.

Step 1: Enable the Closer System

Set the Closer Interaction preference. This is the master switch — all other closer settings are hidden until this is set to something other than None.

  • Full — Both setter and closer stats displayed. Setters can schedule close events for closers. This is the standard closer workflow.

  • Partial — One set of stats displayed. Users are self-gen but can still schedule close events and assign closers.

  • None — Closer system disabled. No close events, only comebacks.

Step 2: Set Default Closer Status

This is the status assumed for any user who doesn't have an individual closer status on their profile.

  • None — Not involved in the closer workflow

  • Setter — Needs a closer assigned to their events

  • Self Gen — Can close their own deals and be assigned as a closer

  • Self Gen & Closer — Can assist with closing but also sets their own appointments

  • Closer — Exclusively operates as a closer, does not set

Step 3: Choose How Closers Are Assigned

Set the Assigning Closers preference.

  • Setter — Reps choose which closer to assign when scheduling an event

  • Dispatcher — A dispatcher assigns closers to all events centrally

Step 4: Configure Default Timeslots

Click Edit Timeslots under Closer Settings to set the default availability window for all closers.

  • Meeting Duration — Length of each appointment in minutes (minimum 15, default 60)

  • Granularity — Time slot intervals of 15, 30, or 60 minutes. Changing granularity may remove incompatible selections.

  • Day-by-day availability — Select which time blocks are available for each day of the week

These company-level timeslots serve as the baseline that teams and individual users can override.

Step 5: Set Appointment Timing

  • Default Appointment Duration — Default meeting length in minutes

  • Default Time Between Appointments — Buffer time between consecutive appointments (default 0)

Step 6 (Optional): Restrict Overbooking

Enable Restrict Overbooking to prevent setters from creating events when no closers are available. When enabled, an additional setting appears.

  • Appointments per Timeslot — Choose 1, 2, or 3 appointments allowed per time slot

Step 7 (Optional): Enable Task Lockout

Enable Task Lockout to prevent closers with uncompleted tasks (such as unconfirmed consultation outcomes) from receiving new bookings until they finish.

Team-Level Overrides

Teams can override the following closer preferences by going to the team's preferences. Teams without overrides inherit from the company.

  • Default Closer Status

  • Assigning Closers

  • Appointments per Timeslot

  • Default Appointment Duration

  • Default Time Between Appointments

  • Closer Settings (timeslots)

  • Closer Interaction

Individual Closer Settings

Individual closers can have personal settings that override team and company defaults. These are configured on the user's profile and include timeslots, service center and radius, minimum and maximum booking notice, display order, and one-off time slot additions or removals.

Clearing Custom Settings

Click Clear Downline Closer Settings to reset all custom closer availability for users in a team and its sub-teams back to inheriting from the company or parent team. This requires the availability:update permission.

Viewing Closer Availability

Go to Calendar > Closer Availability to see a read-only view of available time slots for a given day.

  • Date — Pick a specific day to check

  • Team — Filter to closers on a specific team

  • User — Check a specific closer's availability

  • Timezone — View times in a different timezone (defaults to yours)

The display groups available slots by start time and shows which closers are available at each slot. If no closers are available for your selected filters, a warning message is shown.

Permissions

  • company:update — Required to modify company-level closer preferences. Scopes: none, company.

  • team:update — Required to modify team-level preference overrides.

  • availability:update — Controls who can modify closer timeslots and settings. Scopes: none, self, downline, company. Admins default to company scope. Users default to self scope.

  • availability:view — Controls who can see closer availability. Scopes: downline, company.

To prevent non-admin users from changing closer settings, set their role's availability:update permission to none or self.

Common Scenarios

We want setters to pick their own closers

Set Closer Interaction to Full, Assigning Closers to Setter, configure default timeslots, and set closer statuses on individual users.

We want a dispatcher to assign all closers

Set Closer Interaction to Full and Assigning Closers to Dispatcher.

We don't want overbooking

Enable Restrict Overbooking and set Appointments per Timeslot to 1.

Different teams have different closer hours

Set company-level timeslots as the default, then override at the team level for teams with different schedules.

Closers shouldn't get booked when they have unfinished work

Enable Task Lockout.
