Understanding Workflow Stats & Metrics (Web)

When your company uses workflows, the Stats page shows metrics based on workflow stages and actions instead of the legacy contact-based metrics like pitches and knocks.

Accessing Stats

Navigate to the Stats page from the sidebar and select your workflow from the workflow dropdown at the top. The available columns update automatically based on your workflow's configuration.

Activity Metrics

Every workflow company has access to Days Worked and Hours Worked. Days Worked counts the number of distinct calendar days where the user performed at least one action. Hours Worked counts the number of distinct hours with activity. Both are based on the user's timezone.

If individual actions on your workflow have reporting enabled, you'll also see action-specific metrics. Number of [Action Name] shows how many times that action was performed. Days Since [Action Name] shows how long it's been since the user last performed that action. Avg First and Last [Action] Time show the average time of day the user starts and stops performing that action.

Workflow Stage Metrics

Each pipeline stage on your workflow can generate its own metrics when reporting is enabled on that stage. [Stage Name] shows the number of accounts that entered that stage. Days Since [Stage Name] shows how long it's been since the user last moved an account into that stage. Average first and last time of day metrics are also available per stage.

If your company uses the Setter/Closer model (Full closer interaction), stage metrics are shown separately for each role. Otherwise, they appear under a single "Workflow Stages" group.

Account Metrics

Three general account metrics are always available regardless of workflow configuration. Accounts Created is the number of new accounts created by the user. Accounts Worked is the number of accounts the user has taken action on. Accounts Assigned is the number of accounts assigned to the user.

How Metrics Are Calculated

Days Worked and Hours Worked are calculated from action timestamps stored in Elasticsearch. Each time a user performs a workflow action, the timestamp is recorded. Days Worked counts the number of unique calendar days with at least one action, bucketed by the user's timezone.

Stage counts are aggregated from account history. Each time an account moves into a stage via an action, it counts toward that stage's total. Action counts track how many times a specific action was performed, regardless of which account it was performed on.

Configuring Which Metrics Appear

Metrics only appear on the stats page if they are enabled on the workflow. Admins can configure this when editing a workflow by toggling Count, Days Since, and Time of Day under each pipeline stage's and each action's report settings. Days Worked and Hours Worked are always available and cannot be disabled.

Choosing Visible Columns

Not all available metrics need to be shown at once. Use the column toggle button on the stats page to select which columns are visible. Your selection is saved as a preference.

What's Different from Legacy Stats

If your company recently migrated to workflows, the key difference is that all activity is now tracked through workflow actions rather than contacts and dispositions. Pitches and knocks are replaced by action counts like "Number of Doors Knocked." Contact-based days and hours worked are replaced by action-based days and hours worked. Disposition counts are replaced by stage counts. Days Since Pitch or Knock becomes Days Since a specific action. Your stats now reflect the specific steps in your sales process as defined by your workflow.
