Compliance Overview (Web)

The Compliance section helps you monitor and enforce company policies by tracking violations, managing compliance rules, and ensuring your team follows required procedures.

Accessing Compliance

  1. Go to app.terros.com

  2. Click Compliance from the left sidebar

Note: Only users with compliance management permissions can access this section.

Compliance Dashboard

The main dashboard gives you an at-a-glance view of your compliance status:

Violation Metrics

Violations in the last 24 hours - Count of recent policy violations

Violations in the last 7 days - Weekly violation trend These gauges help you quickly identify if there are compliance issues requiring immediate attention.

Active Policies

View all currently enabled compliance policies. Each policy shows:

  • Policy title

  • What the policy monitors

  • When it was created

Click any policy to view violations related to that specific policy.

Latest Violations

See the most recent compliance violations across your organization. Each violation shows:

  • Who violated the policy

  • Which policy was violated

  • When the violation occurred

Click any violation to view full details and take action.

Viewing All Violations

Click View all in the Latest Violations section or navigate to the Violations page to see the complete list of compliance violations. Filter violations by:

  • Specific user - Use the dropdown at the top to view violations for a single person

  • Policy type - Click a policy to see only violations of that rule

  • Date range - Filter by when violations occurred

Managing Compliance Policies

Viewing Policies

Click Edit Policies to see all compliance policies in your organization. Toggle Show Archived to include policies that are no longer active.

Creating a Policy

  1. Click + Add on the Compliance Policies page

  2. Enter policy details:

  • Title* - Name of the policy (e.g., "Required Daily Check-In")

  • Criteria* - Description of what this policy requires (e.g., "Users must log in at least once per day")

  • Exceptions - Any circumstances where the policy doesn't apply (optional)

  • Report Destinations - Email addresses to notify when violations occur (optional)

  • Expire After - Number of days before old violations are automatically dismissed (optional)

  • Enabled - Toggle on to activate the policy immediately

3. Click Save

Editing a Policy

  1. Go to Compliance Policies

  2. Click on the policy you want to edit

  3. Update any fields

  4. Click Save

Archiving a Policy

If you no longer need a policy:

  1. Click on the policy

  2. Scroll to the bottom

  3. Click Archive

Archived policies stop generating new violations but historical violations remain visible.

Violation Details

Click on any violation to view: Violation Information:

  • Who violated the policy

  • Which policy was violated

  • When it occurred

  • Violation details and context

Related Data:

  • User information

  • Policy description

  • Historical violations by this user

Actions:

  • Dismiss the violation if it was a false positive

  • Contact the user about the violation

  • View the user's full violation history

Understanding Policy Enforcement

  • Automatic Detection - The system automatically checks for policy violations based on your configured rules

  • Real-Time Monitoring - Violations are detected and logged as they occur

  • Email Notifications - If configured, designated recipients receive alerts when violations happen

  • Expiration - Violations can be set to automatically expire after a specified number of days

Best Practices

  • Start with key policies - Don't create too many policies at once. Focus on the most important compliance requirements first.

  • Clear criteria - Write policy criteria in plain language so everyone understands what's required.

  • Use exceptions wisely - Document legitimate exceptions to avoid false violations.

  • Review regularly - Check the dashboard weekly to catch trends early.

  • Set up notifications - Configure email alerts for critical policies so violations don't go unnoticed.

  • Expire old violations - Use the expiration feature to keep the violation list focused on recent issues.

  • Communicate policies - Make sure your team knows what policies exist and what's expected of them.

Troubleshooting

  • Not seeing any violations Policies may not be configured correctly, or your team may be fully compliant. Check that policies are enabled.

  • Too many violations Review policy criteria to ensure they're realistic and achievable. Consider if exceptions are needed.

  • False positive violations Update the policy exceptions to account for legitimate scenarios that shouldn't count as violations.

  • Email notifications not sending Verify email addresses are correct in the policy's Report Destinations field.

  • Can't create policies Contact your admin. You need compliance management permissions to create or edit policies.
