How is Closer Availability Determined? (Mobile)

When you schedule an appointment with a closer, the system checks several factors to determine if they're available. Understanding how this works helps you schedule appointments more efficiently.

What Determines Availability

Closer availability is determined by checking these settings in order:

1. Service Area

  • Service Center: The closer's home base location

  • Service Radius: Maximum distance they're willing to travel (in meters)

  • If the appointment location is outside their service radius, they won't appear as available

2. Timeslots

  • Closers set specific days and times they're available each week

  • Available in 30-minute or 1-hour increments (7 AM - 9 PM)

  • If they haven't set timeslots for a particular day, they won't be available that day

3. Meeting Duration & Buffer Time

  • Meeting Duration: Length of appointments (15-180 minutes, default: 60 minutes)

  • Time Between Appointments: Buffer time between meetings (0-180 minutes, default: 15 minutes)

  • The system blocks out meeting duration + buffer time for each appointment

4. Notice Requirements

  • Minimum Notice: How far in advance they need to know (0-72 hours, default: 24 hours)

  • Maximum Notice: How far out they accept bookings (0-28 days, default: 14 days)

  • Appointments must fall within this window

5. Existing Calendar

  • The system checks their calendar for conflicts

  • Blocked by: scheduled appointments, external calendar events, busy time from synced calendars

  • Not blocked by: shadow events, declined appointments, past events

Configuring Your Closer Settings

To update your availability as a closer:

  1. Open the Calendar tab

  2. Tap your profile icon or the menu

  3. Select Closer Settings

  4. Configure:

    • Closer Preferences: Meeting duration, buffer time, notice requirements

    • Service Area Map: Set your service center and radius

    • Timeslots: Select available days and times

How the System Calculates Availability

When someone schedules an appointment, the system:

  1. Filters by service area: Only shows closers who can reach the location

  2. Checks timeslots: Finds days/times the closer has marked available

  3. Applies notice requirements: Filters out times outside the minimum/maximum notice window

  4. Checks calendar conflicts: Removes times with existing appointments or busy blocks

  5. Adds buffer time: Ensures proper spacing between appointments

Common Scenarios

"A closer isn't showing up as available"

  • They may be outside their service radius for the appointment location

  • They haven't set timeslots for that day/time

  • They have a calendar conflict

  • The appointment is outside their minimum/maximum notice window

"I want to book further out"

  • Ask the closer to increase their Maximum Notice setting (up to 28 days)

"I need a same-day appointment"

  • Check if the closer has set their Minimum Notice to 0 hours

"The closer needs more time between appointments"

  • Have them adjust Time Between Appointments in their Closer Settings
