Understanding What Each Metric Means (Mobile)

The Stats dashboard shows various performance metrics organized into categories. This guide explains what each stat means and how it's calculated.

What Gets Tracked

Contacts & Pitches

Door knocks, phone calls, conversations with prospects, time of first and last pitch each day, days worked, and hours in the field.

Accounts

Leads created, appointments set (sits), appointments attended (sats), deals closed, installs completed, and account stage changes.

Events

Scheduled appointments, completed sits, closures, reschedules, and event outcomes.

Custom Metrics

Custom stats (ratios) defined by your admin, program task completions, and workflow stage progress.

How Calculations Work

Counts - Simple counts of activities (leads, sits, closes, etc.) within the selected date range.

Averages - Calculated based on actual working days, not calendar days. For example, "Avg Pitches Per Day" divides total pitches by days you were active.

Time-Based Metrics - Activities are grouped by hour, day, week, month, quarter, or year depending on the report view.

Ratios - Custom stats that divide one metric by another (e.g., Close Rate = Closes ÷ Sits).

What Affects Your Stats

Date Range - Stats only include activity within the selected start and end dates.

Filters - Team, user, role, and location filters determine which data is included in calculations.

Permissions - You only see stats for users and teams you have permission to view.

Activity Timing - Stats update as activities are logged. Historical changes don't retroactively affect past stats.

Contact Stats

Contact stats track your field interactions with customers and prospects.

Basic Counts

  • Contacts - Total contact records

  • Pitches - Customer interactions

  • Door Pitches - In-person pitches

  • Phone Pitches - Phone pitches

  • Interactions - Total of any type

Activity Timing

  • First Pitch of Day - Average time in minutes from midnight

  • Last Pitch of Day - Average time in minutes from midnight

  • First Knock of Day - Average time of first door knock

  • Last Knock of Day - Average time of last door knock

Work Metrics

  • Hours Worked - Hours with recorded activity

  • Days Worked - Days with at least one activity

  • Team Days Worked - Average days worked across your team

  • Avg Pitch Per Day - Average pitches per working day

  • Avg Pitch Per Week - Average pitches per week

Last Activity Dates

  • Last Pitch Date - Most recent pitch

  • Last Knock Date - Most recent door knock

Account Stats

Account stats track accounts based on your role.

Setter Role - Tracks accounts where you are the setter (person who generated the lead).

Closer Role - Tracks accounts where you are the closer (person closing the deal).

Merged - Shows combined stats for accounts where you're either the setter or closer, avoiding double-counting.

Status Counts

  • Lead - Accounts marked as leads

  • Set - Appointments set for a closer

  • Sat - Appointments where customer showed up

  • Closed - Deals that closed

  • Approved - Deals approved by management/financing

  • Installed - Completed installations

  • Archived - Archived accounts

Advanced Metrics

  • Count - Number of accounts in this status

  • Last Date - Most recent date an account reached this status

  • Avg Per Day - Average accounts reaching this status per day

  • Avg Per Week - Average accounts reaching this status per week

  • Avg Start of Day - Average time (minutes from midnight) accounts enter this status

  • Avg End of Day - Average time accounts exit this status

Workflow Stats

If your company uses Workflows, you'll see stats for each workflow stage including Count, Last Date, and Avg Start/End of Day.

Event Stats

Event stats track calendar appointments and meetings.

Event Counts

  • Event Count - Total calendar events

  • Sits - Consultation appointments

  • Closes - Closing appointments

  • Reschedules - Rescheduled appointments

  • Shadows - Times you shadowed another rep

Event Dates

  • Last Interview Date - Most recent interview/evaluation

  • Next Interview Date - Upcoming scheduled interview

Event Types - Stats break down by specific event types like Consultation, Ride Along, Shadow, etc.

Ratio Stats

Ratios show relationships between metrics to help you understand conversion rates and efficiency.

How Ratios Work - Ratios divide one metric (numerator) by another metric (denominator). Your company configures the format: percentage, decimal, or X:1 format.

Display Formats

Percentage Format (20%) - Shows result as a percentage. Example: 10 closes ÷ 50 leads = 20%. Higher is better.

Decimal Format (0.20) - Shows result as a decimal. Example: 10 closes ÷ 50 leads = 0.20. Higher is better.

X:1 Format (5:1) - Shows "how many of the first thing per one of the second thing." Example: 50 pitches ÷ 10 leads = 5:1 means "it takes 5 pitches to get 1 lead." Lower is better (3:1 is more efficient than 5:1).

Common Ratios

Conversion Ratios (Percentage/Decimal) - Higher is better

  • Close Rate - Closes ÷ Leads

  • Show Rate - Sits ÷ Sets

  • Sit to Close - Closes ÷ Sits

  • Lead to Close - Closes ÷ Leads

Efficiency Ratios (X:1 Format) - Lower is better

  • Pitch to Lead - Pitches ÷ Leads

  • Knocks to Set - Knocks ÷ Sets

  • Calls to Lead - Calls ÷ Leads

  • Doors to Close - Knocks ÷ Closes

Role-Specific Ratios - Setter ratios use accounts where you're the setter, Closer ratios use accounts where you're the closer, and Merged ratios combine both roles without double-counting.

Other Stats

Task Stats - Overdue Tasks shows incomplete tasks past their due date.

Meeting Attendance - Meeting Attendance Count and Last Meeting Date.

Evaluation Stats

  • Evaluation Count - Evaluations you received

  • Average Score - Your average score

  • Evaluated Count - Evaluations you submitted

  • Evaluated Average Score - Average score you gave others

Interview Stats

  • Completed This Quarter - Interviews completed in current quarter

  • Pending - Interviews scheduled but not completed

  • Completed - Total interviews completed

User Stats

  • First Access Date - First login

  • Last Access Date - Most recent login

  • User Count - Number of users (when grouped by team/company)

Custom Field Stats - If your company uses custom fields on accounts: [Field Name] Sum (total of all numeric values) and [Field Name] Count (number of accounts with this field populated).

Disposition Stats - If your company uses dispositions for contacts, you'll see a count for each disposition type (e.g., "Not Home", "Not Interested", "Callback").

Common Questions

Why don't my stats match between setter and closer?

Setter stats only include accounts where you're the setter. Closer stats only include accounts where you're the closer. Use "Merged" stats to see your total activity across both roles.

What does 'Avg Start of Day' mean?

It's the average time (in minutes from midnight) when accounts enter a status. Example: 540 minutes = 9:00 AM. Helps identify when you're most productive.

Why is my 'Days Worked' different from calendar days?

Days Worked only counts days with recorded activity (pitches, knocks, etc.). If you didn't log any activity, that day doesn't count.

How are workflow stats different from status stats?

Workflow stats use your company's custom workflow stages. Status stats use standard Terros account statuses. Your company determines which system you use.

What's a good ratio?

Industry standards vary by business type. Compare your ratios to team averages to see how you're performing. Your manager can help set realistic ratio targets.

Why is my ratio showing 0 or blank?

If the denominator (bottom number) is 0, the ratio can't be calculated. Example: Can't calculate close rate if you have 0 leads. Ratios appear once you have activity in both metrics.

Which ratios should be higher and which should be lower?

Percentage/Decimal ratios (conversion rates): Higher is better (50% is better than 20%). X:1 ratios (efficiency ratios): Lower is better (3:1 is better than 5:1 - means less effort per result).

Troubleshooting

Stats not updating?

  • Make sure you're logging activities correctly

  • Check that your date range includes recent activity

  • Refresh the stats page

Numbers seem wrong?

  • Verify your filters (team, date range, etc.)

  • Check if archived users are included or excluded

  • Confirm you have permission to view the data

Missing data?

  • Ensure activities were logged in the system

  • Check that accounts have the correct status

  • Verify workflow stages are set up properly
