On-Site Verification: Updating Event Outcomes (Mobile)

Some companies require reps to be physically present at an event location before updating the event outcome. This feature, called geofencing, helps ensure accurate reporting and prevents outcomes from being marked remotely.

What is Event Geofencing?

Event geofencing creates a virtual boundary around an appointment location. When enabled by your company, you must be within a specific distance of the event address to update the outcome (mark it as "Showed," "No Show," "Rescheduled," etc.).

How It Works

When Geofencing is Enabled:

  1. You arrive at the appointment location

  2. You open the event in the Calendar tab

  3. You attempt to update the outcome

  4. The app checks your current GPS location

  5. If you're within the allowed distance, the outcome saves

  6. If you're too far away, you'll see an error message

Distance Requirements:

Your company admin sets the maximum allowed distance (measured in meters). Common settings:

  • 100 meters (~328 feet) - Strict enforcement

  • 250 meters (~820 feet) - Moderate enforcement

  • 500 meters (~1,640 feet) - Lenient enforcement

  • 0 meters - Geofencing disabled (can update from anywhere)

Error Messages

"You must be within [X] meters of the event location to update the outcome to [Outcome Name]."

  • You're too far from the appointment address

  • Move closer to the location and try again

  • Check that you have the correct event address

"Failed to get your current location. We need this to check if you are within the allowed distance."

  • Your device location services are disabled or blocked

  • Enable location permissions for Terros in your device settings

  • Make sure you have GPS signal (move outdoors if inside)

Requirements for Geofencing

Device Requirements:

  • Location services must be enabled on your device

  • Terros app must have "Location Access" permissions (Always or While Using)

  • GPS signal must be available (may not work indoors or in poor signal areas)

Event Requirements:

  • Only applies when marking an outcome as "occurred" (Showed, No Show, Rescheduled)

  • Does not apply when creating or editing event details

  • Does not apply to events without a physical address

Troubleshooting

"I'm at the location but still getting the distance error"

  • Wait a few seconds for GPS to get an accurate fix

  • Move outdoors if you're inside a building (GPS works better outside)

  • Check that the event address is correct (wrong address = wrong location check)

  • Your device GPS may be showing an inaccurate location

"I need to update an event from the office"

  • Geofencing is a company policy - contact your manager if you have a special case

  • Only managers with proper permissions can adjust geofencing settings

  • Some companies allow managers to override on a case-by-case basis

"Geofencing doesn't work for my events"

  • Your company may have geofencing disabled (set to 0 meters)

  • Check with your admin about current geofencing policies

  • Only certain event outcomes may require geofencing

Company Settings

For Admins:

Geofencing is configured in Settings > Preferences on the web app:

  • Setting Name: "Max Meters from Event to Disposition"

  • Default: 0 (disabled)

  • Recommended: 100-500 meters depending on your verification needs

  • Effect: Reps must be within this distance to mark event outcomes

Why Companies Use Geofencing:

  • Ensures reps physically attend appointments

  • Prevents false outcome reporting

  • Improves data accuracy for performance tracking

  • Verifies field activity compliance

Tips for Success

  • Arrive early: Give yourself time to get GPS signal before the appointment

  • Test outdoors: If you're having issues, step outside to get a better GPS fix

  • Verify addresses: Make sure event addresses are accurate when creating appointments

  • Plan ahead: Know your company's geofencing policy before heading to events

  • Check permissions: Keep location services enabled for the Terros app at all times
